Our reports cover everything — from walls, flooring, and fixtures to cleanliness, furniture, and built-in appliances. Each item is recorded with precise written descriptions and photographic evidence to ensure full transparency.

  • Inventory Check-in Report

    An Inventory Check-In serves as a legally recognised document that helps avoid disputes, protects the tenant’s deposit, and provides a reliable point of reference throughout the tenancy.

    A detailed, room-by-room inspection is carried out to record the state of:

    Walls, ceilings, and floors

    Fixtures, fittings, and built-in appliances

    Doors, windows, light switches, and sockets

    Furniture and white goods (in furnished properties)

    Kitchens, bathrooms, and utility areas

    Decorative finishes including skirting boards, coving, and paintwork

    All items are documented with precise written descriptions and backed by photographic evidence, ensuring no detail is overlooked.

    Visual Evidence & Enhanced Imaging

    Photographs of every room and item referenced

    Additional images of door frames from all sides, including the tops and thresholds (commonly overlooked areas that may show wear or hanger damage)

    External areas such as gardens, balconies, driveways, and communal spaces are also fully photographed and described

    Key Handovers & Access

    All keys and access devices are recorded, including:

    Front and rear door keys

    Window and mailbox keys

    Fobs, entry cards, and remote controls

    Each item is photographed and logged, with descriptions for security and future reference.

    Utilities & Safety Compliance

    Meter readings for gas, electricity, and water are taken and photographed

    Readings include the meter serial number, exact location, and clear photo evidence

    External water meters are included where applicable

    Smoke and carbon monoxide alarms are tested during check-in

    Any non-functioning units are noted and reported immediately

    The fuse board and stopcock locations are clearly listed for tenant awareness

    Cleanliness & Professional Standards

    The cleanliness of the property is carefully assessed and included at each stage via our condition section.

    Any recent professional cleaning invoices are attached to the report for transparency

    Areas needing additional attention are noted

    External Spaces

    Outdoor areas are thoroughly inspected and documented, covering:

    Gardens, patios, sheds, balconies, and fencing

    Outdoor lighting and any garden furniture

    Waste bin conditions and placement

    Tenant Review & Agreement

    After the report is completed:

    The tenant is invited to review and add any comments

    Once approved, both tenant and landlord (or agent) sign the document

    A digital or printed copy is provided to all parties

  • Mid- Tenancy Inspections

    Following the initial inventory and check-in, we strongly recommend scheduling Mid-Tenancy Inspections as part of your ongoing property care plan. These routine visits are essential for maintaining the condition of your property and ensuring a smooth tenancy for both landlord and tenant.

    These inspections are designed to:

    Monitor the overall condition of the property, including fixtures, fittings, and furnishings

    Ensure tenants are fulfilling their responsibilities as outlined in the tenancy agreement

    Identify and address maintenance issues early — before they escalate into costly repairs

    It’s not uncommon for inspections to uncover issues that tenants may have overlooked, forgotten, or felt unsure about reporting. By conducting regular mid-term visits, landlords can resolve concerns promptly and maintain a well-informed, positive relationship with their tenants.

    Importantly, these inspections also serve as a reliable, date-stamped evidence base should documentation ever be required for insurance claims or legal purposes, offering added protection and peace of mind.

  • Check-Out Report

    A Check-Out Report is a detailed inspection document created at the end of a tenancy, comparing the property's condition to the original Inventory Check-In Report. It records any changes, damages, or excessive wear and tear that may have occurred during the tenancy. The report includes written descriptions, photographs, and meter readings to ensure accurate utility billing. It helps determine whether any deductions from the tenant's deposit are necessary for repairs or cleaning beyond fair wear and tear. The check-out process provides transparency for both landlords and tenants, helping to resolve any disputes and ensuring a fair conclusion to the tenancy.

*Terms and Conditions:

  • The above inventory pricing applies to unfurnished properties (unfurnished include white goods).

  • Furnished properties will incur an additional charge of £20, with heavily furnished properties potentially incurring extra costs.

  • Additional rooms (including but not limited to en-suite bathrooms, garages, etc.) will be charged at £10 per room.

    Should a room fail to be mentioned upon quotation we reserve the right to include this within the final costing)

  • Standalone Inspections - Deemed as compiled on a non- managed property by us

  • Missed Access Charge
    In the event that a pre-scheduled instruction cannot be carried out due to the tenant’s failure to provide access at the agreed time, we reserve the right to charge 50% of the agreed fee for the instruction. Documentation confirming the scheduled appointment will be made available upon request.

  • Key cutting service: £10 charge, plus the cost of key cutting.

  • Parking, congestion charges apply where applicable.

Reports:

Once completed, our reports are sent digitally to all relevant parties—agent, landlord, and tenants, or anyone specified by the booking instructor. Our system notifies us once the report is signed, allowing us to keep the booking instructor updated on the agreement's progress. All parties will have 7 days from the date of receipt to submit any additional comments, along with photographic evidence if necessary.

Turnaround:

We aim to issue Inventory Check-in & Check-out reports within 24-72 hours, depending on the property's size and level of furnishing. Mid-tenancy Inspections are typically sent within 24 hours, if not immediately upon completion. We are happy to accommodate last-minute bookings, so feel free to reach out, and we will do our best to prioritise your needs.
